Administration Assistant Full Time Permanent Position

Opportunity has arisen for a motivated administration assistant working in our Edinburgh office in Liberton. You should be a natural organiser and methodical in your approach to handling the workload efficiently. Must have good IT skills and experience with Microsoft Office packages is advantageous.

Job Purpose:
Provide an all round administration service including first point contact for visitors and callers. Supports sales process, supports operations manager in duties and assists with monthly and weekly reporting schedules. Keeps busy teams organised and arranges meetings, travel, accommodation bookings as required. Provides a support service to operational teams and assists with document production and formatting. Keeps work flow operating and processes forms and administrational requirements to facilitate efficient working of teams.

Duties:
-Welcomes visitors by greeting them, in person or on the telephone; answering or referring enquiries.
-Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival.
-Supports company operations by maintaining office systems.
-Provides information by answering questions and requests.
-Arranging of travel and accommodation as required.
-Support of event management and co-ordination.
-Arranges meetings and issue of appropriate documentation. Monitors meeting calendar and encourages teams to hold regular briefings as required.
-Supports and maintains information within key management information systems
-Supports reporting schedule and assists in production of management reports from key systems in Operations Team.
-Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
-Develop, maintain and monitor company library of information and documentation.
-Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
-Develop, maintain and manage equipment inventory and booking system for field teams.
-Maintains office systems, operations and procedures; controlling correspondence; designing filing systems; reviewing and arranging supply requisitions
-Assists Operations Manager to support operational matters across company.

Salary range is up to £12,000 dependent on age and experience.
