Office Manager / PA to Investment Director

Our client has a fantastic opportunity for an office manager / PA to run their Paris office. You will provide full administration support to the Investment Director and his team. Working closely with the Investment director you will ensure that an effective and efficient support service is provided to internal and external clients.

Key duties will involve:

Managing the Investment Directors inbox and replying to emails on his behalf
Ensuring all phone calls, emails, mail, faxes are redirected and filtered
Diary Management
Arranging meetings
Ensure Investment Director has all of the appropriate information required for meetings
Arranging travel and producing itineraries
Implement and maintain filing systems
Providing general secretarial support ie production of correspondence, memos, boards reports, presentations and spreadsheets
Managing visa and cash expenses for the investment director
Payment of invoices
Ordering office supplies and negotiation of contracts with suppliers
Ensure finance policies and procedures are documented
Contribute to the improvement of systems, products and services within the Paris office
Working closely with the Investment Director and manage the Paris budget
Facility Management and ensure services and contracts with third party providers is valid and reviewed annually
Raise any technology issues and direct enquiries through Edinburgh office
Deal with internal /external customers, teams and colleagues in other business units
Provide assistance on adhoc requests
